AI custom tools and agents

Are you drowning in admin? We build secure AI tools and automations that connect the systems you already use, cut down repetitive work and give your team time back.

What can a custom AI tool or agent do for a business?

A custom AI tool or agent handles repetitive work across the systems you already use: sorting enquiries, pulling details out of documents, keeping your CRM and accounting software in sync, preparing reports and sending routine follow-ups. Built properly, it only has the access it needs, logs what it does and checks with a person before anything important happens.

// Examples

What we can build for you

Every business is different, but these are the kinds of jobs we automate most often.

Enquiry handling

Incoming enquiries sorted, summarised and added to your CRM, with a draft reply ready for your team to check and send.

Document processing

Details pulled from invoices, forms and applications straight into your accounting or practice system, instead of being retyped.

Connecting your systems

Your website, CRM, accounting software and Microsoft 365 or Google sharing information automatically, so nothing is entered twice.

Internal knowledge assistant

A private assistant that answers staff questions from your own policies, procedures and templates.

Reports that build themselves

Weekly figures gathered from several systems into one summary that lands in your inbox.

Routine follow-ups

Reminders, renewals and chasers sent on time without someone having to remember them.

Built securely from the start

Connecting systems together is where a lot of businesses quietly open new security holes: an API key saved in the wrong place, an AI tool with access to every file, or an automation nobody remembers setting up.

Because security is our day job, it is part of every build rather than something we check at the end.

Every tool we build

  • Gets only the access it needs, nothing more
  • Keeps API keys and passwords out of reach
  • Logs what it does so you can see what happened
  • Asks a person before anything important happens
  • Uses AI settings that keep your data private
  • Is documented, so it is not a mystery later

// How it works

From idea to working tool

  1. 01

    Find the time sink

We sit down with your team and look for the repetitive jobs that eat the most hours each week.

  2. 02

    Map the systems

We work out where the data lives, how it moves today and the safest way to connect it.

  3. 03

    Build a small pilot

One workflow, built and tested on real examples, so you can see the time saved before going further.

  4. 04

    Check the security

Access, credentials, logging and approvals are reviewed before anything goes live.

  5. 05

    Roll out and support

We train your team, monitor how it runs and adjust it as your processes change.

Already using AI tools?

Most teams are using AI somewhere already, often without anyone keeping track of it. Browser add-ons, meeting note-takers and chat tools can end up with access to email, files and client data.

We can review what is in use, what each tool can see and which accounts are connected, then tighten things up without taking away the tools your team finds useful.

Not sure what AI tools your staff are using? That is the first thing worth finding out. Ask us to take a look.

// FAQ

Common questions

What does a custom AI tool or agent cost?

It depends on what it needs to do and which systems it connects to. We start with a short discovery session, then give you a fixed-price quote for a small pilot so you can see it working before committing to anything bigger.

Which systems can you connect?

Most business systems that offer an API or a reliable export: Microsoft 365 and Google Workspace, common CRMs, accounting and practice management software, your website and forms, and custom databases. If a system has no safe way in, we will tell you rather than force it.

Is it safe to give an AI tool access to our data?

It can be, if it is set up properly. We give each tool only the access it needs, keep credentials out of reach, log what it does, and choose AI providers and settings that keep your data private and out of public model training where the provider allows it. Anything that sends money, deletes data or contacts clients can require a person to approve it first.

Will this replace our staff?

That is not the aim. The goal is to take the repetitive, low-value work off your team so they can spend more time with clients and on work that brings in revenue.

We already use AI tools. Can you check them?

Yes. We review which AI tools and add-ons your team is using, what data they can reach, which accounts and API keys are connected, and whether anything is sharing more than it should.
